EXECUTIVE SECRETARY
Position Description
This regular full-time position will be available at the Riverside School Board office, in Complementary Services, effective January 2026.
NATURE OF WORK:
The principal work of the employee in this class consists of performing, in an autonomous manner, secretarial duties of a complex nature for the Complementary Services department.
The successful candidate will perform the following tasks:
- The employee responds to information requests concerning the follow-up of files and meetings, policies, regulations or other subjects related to the duties performed.
- As necessary, they will issue reminders, forward pertinent documentation, manage incoming and outgoing mail, and find, gather and compile pertinent information.
- Within the limits of their assigned duties, the employee will prepare draft responses to inquiries and ensure that appropriate follow-up and timelines are met.
- They will prepare a summary of complicated situations before forwarding to the management team of Complementary Services.
- The employee greets visitors to the Complementary Services department, provides any information within his or her competence or refers them to the persons concerned.
- They will respond to schools in the context of their daily operations as well as in emergency situations.
- They will respond to parents in the context of their daily operations as well as in specific point periods (for example, during the Official Enrolment Period).
- The employee organizes meetings, convenes participants and prepares the necessary files.
- They prepare a draft agenda of the subjects received and, if necessary, attend meetings, take notes and prepare a draft of the minutes.
- The employee drafts memorandums or bulletins, sets up and maintains the filing system and archives documents as required.
- The employee receives documentation for confidential files and helps coordinate the validation process.
- They may be asked, at times, to proofread and/or translate documents.
- The employee uses a computer and the necessary software to perform their duties related to word processing, database entry, spreadsheets and in-house programs; they may be required to help, on occasion, colleagues with the common software and programs used.
- They may be required to train new executive secretaries and to coordinate the work of support staff.
- If need be, they perform any other related duty.
QUALIFICATIONS:
Hold a Diploma of Vocational Studies in Secretarial Studies, a Secondary School Diploma or a diploma or an attestation of studies recognized as equivalent by the competent authority and have four (4) years of pertinent experience.
OTHER REQUIREMENTS:
- Has sound knowledge of office automation.
- Has excellent knowledge of Office 365 applications.
- Is autonomous, respects confidentiality, has strong organizational skills, is attentive to detail.
- Has strong time management skills and works well collaboratively within a team.
- Excellent knowledge of French and English, both written and spoken.
- Good judgement, decision-making and record keeping skills are essential.
- Knowledge of GPI software is an asset.
SCHEDULE: Monday to Friday, from 8:00 a.m. to 4:00 p.m. (one hour lunch).
SALARY: $882.00 to $1017.45 per 35 hour week, according to qualifications and experience.
